Our client is an EU Agency, based in Budapest, having its offices in the 6th district. Now they are looking for an Administrative Assistant .

The Administrative Assistant will provide administrative and logistical support to the Agency’s Training HUB Unit, under the supervision of the coordinators and officers of the Unit

Main tasks:

• Contribute to the preparation, organisation, implementation and closure of the Research and Science Conference and the Research Week
• Assist to day-to-day administration of ad-hoc tasks, meetings, workshops and other events
• Provide logistical and operational support to meetings, workshops, and other events
• Provide administrative and technical assistance for participant nomination process of events, including collection of nominations, sending meeting invitations, producing and updating respective participants lists, updating and managing folders
• Provide administrative support to related to Research, Task Forces, including outcomes preparation
• Contribute to processes and documentation
• Support preparation of the presentations / briefings / documents for the meetings with stakeholders
• Liaise with internal and external partners
• Prepare documentation of activities based on approved process and templates
• Endorse the revision of existing procedures and guidelines and creating internal training materials under supervision
• Maintain back up functions


• Education: Secondary, post-secondary
• Work experience: 2 years

Knowledge and Skills:

• Experience in organising meeting and training events
• Excellent organisational and logistic skills, ability to schedule, prioritise and deliver on schedule
• Attention to detail, administrative skills
• Ability to work effectively in a team, and individually
• Ability to use LMS and provide assistance, or skills enabling a quick training to this effect
• Good analytical skills
• Excellent Office suite ICT skills, in particular Word and Excel, presentations
• Ability to deliver under stress
• Good inter-personal and communication skills
• Good presentation and communication skills
• Motivation – open and positive service-oriented attitude


• Experience working in Moodle learning management and in general in LMS
• Experience in using online training tools for educational purposes
• Experience in working in international teams and in an international context
• Experience delivering online activities
• Knowledges of quantitative and/or qualitative analyses methods
• Experience in visualisation of data
• Experience in organisation of conferences
• Good knowledge of the EU security environment

Computer skills required:

• Solid computer skills, including proficiency with Microsoft Office Applications (Word, Excel, PowerPoint)


• Very good command of both written and spoken English (C1 and above)

What we offer:

• Expected duration: 6 months
• Monthly gross salary of the position: EUR 2,383.89
