Moreover, DMO will provide day-to-day guidance to the Company business areas and coordinate the use of document and records management systems.
Main tasks:
• Preparation of the company for the introduction of ARES (Advance Record System, electronic document management system)
• Introduction of ARES;
• Helpdesk for use of ARES for our firm colleagues, including the setting up a FAQ for colleagues;
• Prepare an Archiving plan;
• Review of records in the Archive;
• Proper destruction of records without a possible historical value;
• Liaise with Commission SecGen and the staff on the introduction of ARES in the Agency;
• Draft user guides and other practical information on the use of ARES to the staff;
• Draft checklists, reports etc. related to archiving procedures applicable to retention and destruction of records;
• Draft and implement a plan for the 15-year review of archived material in light of:
o Digitalisation of non-digital records,
o Transfer of records to the Historical Archive of the European Union;
• Perform other related tasks as required and assigned by the Head of Corporate Services.
Requirements:
• Education: post-secondary education attested by a diploma, or Secondary education attested by a diploma giving access to post- secondary education
• Work experience: 3 years
Knowledge and Skills:
• Experience with tasks related to Document Management;
• Excellent organisational and logistic skills, ability to schedule and prioritise;
• Attention to detail, administrative skills and ability to work effectively in a small team;
• Good analytical skills;
• Good presentation and communication skills;
• Very good command of written and oral English corresponding to level C1 or higher of the Common European Framework reference for Languages
Advantageous:
• Experience with ARES would be considered as an added value;
Computer skills required:
• Solid computer skills, including proficiency with Microsoft Office Applications (Word, Excel, PowerPoint)
LANGUAGE SKILLS:
• Very good command of both written and spoken English, minimum B2 level of the Common European Framework of Reference for Languages
What we offer:
• Fixed term contract
• Expected starting date and duration: 16 February 2023 – 31 December 2023, 10.5 months
• Monthly gross salary of the position: EUR 2,385.21
