What you’ll be doing

• Implement and maintain the standard practices in accordance with the Fleet Manual at the regional level
• Implement and maintain the VRP procedures at the regional and operational levels
• Manage regional VRP vehicle stock in Budapest in accordance with the standard operating procedures (SOPs) and administer all issues related to vehicles in stock, receipt and inspection of vehicles, accessories and equipment for vehicles, import and registration documentation, logbooks, service books, warranty booklets, vehicle and driver folders, stickers, keys etc.
• Organize the transport of VRP vehicles from/to Budapest VRP vehicle stock in line with SOPs and coordinate with the operations and/or National Societies on import/export procedures for vehicles including the registration.
• Review the vehicle stock situation on a monthly basis to ensure that a cost-efficient fleet stock size is maintained.
• When requested, prepare rental estimates for vehicles ex-Budapest VRP vehicle stock in a timely manner in close cooperation with Global Fleet Unit.
• Regularly operate and use the Fleet Management System – Fleet Wave for all vehicles based in the region. Ensure that all the vehicles used by the operations either on VRP, local rental, on loan or on donation are captured into an asset database which is maintained and updated regularly.
• Receive and analyse Fleet Wave reports in cooperation with the operations and National Societies in the region and to make sure that all data is entered timely and correctly. Coordinate and follow up with the GFU Fleet Officer responsible for the global fleet management support if any incorrect data is entered into Fleet Wave.
• Provide in-depth statistical analysis of fleet management KPIs and identify potential areas for improvement.
• Prepare monthly reports as required by the line and technical management (i.e., monthly KPI report for Europe region, quarterly vehicle utilisation report, etc.)
• Build relationships with internal and external stakeholders in the Regional office for Europe to continually improve the fleet operational effectiveness and cost-efficiency performance and the overall perception of the global fleet management.
• Review and update existing vehicle import, registration, export, and vehicle disposal procedures in Hungary and seek out feedback from internal and external stakeholders to contribute to the continuous improvement and learning of the global fleet management.
• Comply with the operational performance measurement and regional financial reporting to ensure that the VRP recovers 100% of its costs and maintains its viability.
• To ensure that the necessary information related to fleet and maintenance management is effectively shared and communicated to the Fleet Coordinator and all other relevant stakeholders (i.e., information on driver/vehicle movements/fleet performance/driving safety, vehicle workshop KPIs and accidents).
• Be available for deployment within the first 5 days of an emergency operation within the region to set up fleet systems and procedures, provide fleet management support and complete assessment of the operation’s fleet requirements in accordance with the agreed Terms of References.
• Support the Regional Fleet Coordinator in the implementation of the Regional Fleet strategy and Plan of Action.
• Perform any other functions identified by the Regional Fleet Coordinator.

What you need to have:

• Degree in Fleet/Transport/Workshop Management or equivalent practical knowledge
• Fleet Management specialist training
• Minimum 3 years of relevant experience in fleet and transport management
• Experience in managing and supporting staff
• Professional experience in general logistics, including warehousing, transportation and customs clearance, and vehicle registration procedures in Hungary
• Prior responsibility for inventory and asset management
• Proven experience in service provision, import/export customs clearance and effective customer relations in Hungary
• Excellent communication (oral and written) skills
• Fluent in English
